Personal Data Protection Policy

Kallpa Tour Operator · Traveler Personal Data Protection Policy

Since 1992, travellers have trusted us with much more than their itineraries. Long before they arrive, they share their passport details, their dietary needs, a health condition we should know about, the name of someone to call if anything happens. We see that information the way we see the travellers themselves: as people we are looking after, not as data we own.

This policy explains, in plain words, what we do with that information and how we protect it.

Who this applies to

It covers the personal information of every traveller whose trip we operate in Argentina, Chile and Uruguay, and everyone who handles it on our behalf: our team, our Tour Leaders and guides, and the suppliers who deliver each service.

We work with travel agencies around the world. In almost every case, it is the agency that sells the trip and sends us the information we need to run it. The agency is responsible for telling its travellers about this and obtaining their consent before sharing their details with us.

What information we use, and why

We only ask for what we need to make the trip happen:

What For example
Who you are Full name, date of birth, nationality, passport number
How to reach you Email, phone number, an emergency contact
Your trip Itinerary, flights, accommodation, transfers, room arrangements
What you need from us Dietary requirements, mobility needs, relevant health information

We use it to book and run your services, to look after you before and during the trip (including in an emergency), to meet our legal and accounting obligations, and to handle any feedback or complaint.

Health, mobility and dietary information deserves particular care. We use it only to adapt your services and keep you safe, and we share it only with the people who need it to do so.

We do not sell anyone’s information, and we do not use it for our own marketing.

How we protect it

  • Your information lives in our reservations system, Tourplan. Each member of our team has their own user account, and only those who need your details for their work can see them.
  • Everyone at Kallpa is bound by the confidentiality clause in our Employee Handbook, which explicitly covers client information.
  • The other tools we use every day, such as email and internal communication, come from providers with their own security measures.

Who else sees it

Each supplier receives only what it needs: a hotel gets names and room arrangements, a restaurant gets dietary requirements, a guide gets what is needed for the day’s activity.

Our Service Agreement asks suppliers to use travellers’ information only to provide the service, never to share it with third parties without written authorisation, to protect it, and to tell us immediately if anything goes wrong. Our Tour Leaders and guides follow the confidentiality guidelines in our Guide Manual, which they confirm when they join us.

We only share information with public authorities when the law requires it.

Information travelling across borders

Your details usually reach us from an agency abroad, and we pass the necessary parts to suppliers in Argentina, Chile and Uruguay to run your trip. We send only what each service needs and expect every supplier to protect it as described above.

How long we keep it

Information about your needs during the trip (health, mobility, diet) is kept only as long as we need it to run the trip and handle any follow-up. Booking and billing records are kept for the periods required by accounting and tax law.

Travellers under 18

Information about children and young people reaches us through their parents, guardians or the booking agency. We use it only to deliver their services, with the same care described here.

Your rights

You can ask us to show you, correct, update or delete your information, to limit how we use it, or to withdraw your consent. Just write to [email protected] with the subject “Personal data request”, and we will answer within the time limits set by law. You can also contact the agency you booked with, which will coordinate with us. In Argentina, you also have the right to file a complaint with the Agencia de Acceso a la Información Pública (AAIP).

If something goes wrong

If your information is ever exposed, we will act immediately to contain the problem and let you, your agency and the competent authorities know, as the law requires.

The rules we follow

We handle personal information in line with Argentina’s Personal Data Protection Law No. 25.326, Chile’s Law No. 19.628 and Uruguay’s Law No. 18.331. Many of the agencies we work with are in Europe and the United Kingdom, under the GDPR and UK GDPR, and we work with them so that their travellers’ information is treated consistently with those rules.
